Position: Special Events Coordinator

The Maryland Chamber of Commerce is looking for an experienced meeting professional with four full time years’ experience in meeting planning and special events to execute a variety of internal and external programs. 

Overview:

The Special Event Coordinator will create and manage all events and programs for the Chamber. In order to be considered, candidates must have at least 4 years’ full time meeting planning or special event experience. This is a highly visible role which demands extensive customer service skills, a high level of professionalism and willingness to handle all planning and administrative details of (meetings and) events. The ideal candidate must thrive in a challenging and fast passed atmosphere where prioritizing and multi-tasking are the norm. They must work well both independently and in a group, maintain a calm and professional demeanor at all times, be adept at problem solving and manage their own workload with concurrent tasks while keeping direct supervisor aware of project status.  Exceptional attention to detail and first class organizational skills are mandatory. 

  • Assist with negotiations for space contracts to book event space, arrange food and beverage and order supplies, equipment and signage 
  • Manages hotel room block and housing, being sensitive to attrition clause and ensuring there are enough guest rooms and room types for attendees. 
  • Experience with creative menu planning with accurate food guarantees.  
  • Based on organizational strategic goals, identifies event opportunities and generates interest
  • Assist in planning all event logistics including data base management, registration, table assignments and nametags/attendee lists
  • Create and revise room layouts for each event 
  • Schedules and maintains communication with speakers, vendors, and participants
  • Maintains planning documents in an organized and proactive manner 
  • Keeps direct supervisor apprised on project status 
  • Consult and interact with members, panelists, award winners and sponsors, analyze their needs, provide recommendations and develop and execute appropriate event strategies to achieve goals and objectives
  • Must be proficient in development and maintenance of project plans, budgets, timelines and reports as required for each event 
  • Manages meeting budgets pre-meeting and post-meeting, staying under budget or communicating when possibility of going over budget arises.
  • Acts as main point of contact for all attendee registrations, processing invoices and refunds, when necessary
  • Analyze the effectiveness of completed events to improve value of future projects
  • Manages on-site staffing and registration at events
  • Works closely with the Communication department for coordination of timely promotion of all Chamber events
  • Oversees the event installation and dismantle
  • Provides general support to the Chamber staff including answering phones, greeting visitors and other basic office needs.
  • Other tasks as requested

Qualifications:

  • Excellent communication skills, including writing, proof reading skills, and speaking
  • Excellent organization skills and experience with project management
  • Ability to manage multiple simultaneous projects and work assignments from a variety of staff and volunteers
  • Excellent interpersonal skills both in person and by phone, with high professionalism.
  • Ability to accomplish projects with little supervision.
  • Fantastic customer service ethic and high expectations for quality
  • Bachelor’s degree preferred; CMP designation a plus
  • Proficient using the Web to conduct research, event administration and procurement as well as with the latest versions of Microsoft Outlook, Word, Excel, PowerPoint.
  • Work history to reflect the use of excellent negotiating skills including complex contract negotiations

Position: Legislative Intern

Compensation: Paid

Position Dates: January – May, 2017. Flexible.

Hours: 2-3 days a week, 17-22 hours per week. Flexible.

Prerequisites: Student currently enrolled in a baccalaureate or graduate level program in political science, business, communications or other related field.

Duties & Responsibilities:

  • Providing administrative support to the lobbying team in order to provide timely and accurate reports, position papers, testimony, fax/emailing of legislative-related documents and correspondence to legislators, members and other constituency groups
  • Supporting the Legislative, and other policy committees of the Maryland Chamber with regard to preparing, updating, and maintaining committee lists, agendas, meeting notices, RSVPs, materials and correspondence
  • Other duties as assigned
  • Aid in database management

Skills Required:

  • Outstanding computer skills, including database management
  • Good writing skills as well as a strong ability to work within strict timelines, under pressure and with a wide variety of personalities
  • A professional demeanor coupled with a good work ethic
  • A general understanding of the legislative process is preferred

Position: Communications 

Area of Focus: Event Planning and Promotion

Prerequisites: Student currently enrolled in a baccalaureate or graduate level program in marketing, communications, business, hospitality management or other related field.

Duties & Responsibilities:

  • Conduct research, make site visits (with Chamber staff), and find resources to help staff make decisions about event possibilities
  • Assist in identifying event opportunities and generating interest
  • Works closely with other staff members in promoting Chamber events to target audiences
  • Assists in preparing a variety of publications, materials, and programs for events
  • Assists in maintaining the Chamber website ensuring that event and program updates are made on a timely basis
  • Attends signature events
  • Assists on the “day of” in set-up, preparation, hosting registration table and troubleshooting
  • May be asked to assist with social media, pre-and post-event coverage
  • Assist with event registration 
  • Aid in database management
